Step-by-step guide: How to file KRA returns with multiple P9 forms
A P9 form is a standard tax deduction form issued by employers to employees, summarizing the total salary earned in a year.

KRA tax returns.
Every
Kenyan is required to file their KRA returns every year.
For
those in formal employment, they are required to obtain a P9 form from their
employers to be able to complete the process of filing returns.
The
same applies to many with multiple formal jobs, meaning they will have more
than one P9 form, all of which are required for filing tax returns.
A
P9 form is a standard tax deduction form issued by employers to employees,
summarizing the total salary earned in a year.
To
file this kind of return, one needs to have their KRA PIN and iTax password,
then follow the steps below:
Step
1:
Log in to the iTax profile using your PIN and password.
Step
2:
Go
to the Returns menu, select ‘File Return’, then click Next.
Step
3:
Download
the Excel document by clicking the icon labelled ‘Click here’ to download the
Income Tax Resident Individual Return Form under number 5.
Step
4:
Once
downloaded and opened, enable content in the file by selecting File, then Trust
Center, followed by Trust Center Settings, then Macro Settings, and finally
choose Enable all macros, then click OK.
Step
5:
Again
under File, select Save As, choose a location to save the file, and under Save
as type, select ‘Excel Macro-Enabled Workbook’. Save and close the file.
Reopen
the file and proceed to fill in the Excel template.
Steps
for filling the Excel template:
Step
1:
Provide
all mandatory details in the ‘Basic Info’ sheet of the return, i.e., your PIN
number, select the type of return and the appropriate return period, then click
Next to proceed.
Step
2:
Provide
details of the employment income for the year in Section F (Employment Income), starting from Row A3 to G3, as per your first P9 form.
Step
3:
Provide employment income details from the second P9 form in Row A4 to G4. In case
you have more than two P9 forms, click on the ‘Add row(s)’ button and provide
the additional employment income details.
Step
4:
In
Section M (Details of PAYE Deducted), fill in the PAYE details from the first
P9 form for the whole year in Row A3 to E3, and for the second P9 form in Row
A4 to E4. If you have more than two P9 forms, click on ‘Add row(s)’ and enter
the relevant details.
Step
5:
In
Section T (Tax Computation), input the total pension for the year in Line 11.1
(sum of all P9 forms, up to a maximum of Ksh 240,000) and Personal Relief for
the year in Line 12.6, up to a limit of Ksh 28,800.
Finally,
click ‘Validate’ to validate the return and generate the upload file for
submission to iTax.
