The Kenya Medical Supplies Authority (Kemsa) Board has okayed the use of an electronic system to streamline operations.

The software, Convene Electronic Board Management Systems, is aimed at improving efficiency and productivity.

The move is touted to streamline board operations and track projects implementation.

Through the software, directors will gain access to a centralised information hub just by clicking on the button on their gadgets instead of shuffling bulky hardcopy board papers.

It will also make it possible to convene virtual and physical meetings to deliberate on urgent matters and make informed decisions.

The purpose-built Convene eboard software will facilitate automation of all board processes.

These include scheduling, sharing of board papers, conducting, and managing meetings as well as minutes and communication in a more secure and efficient manner.

The Authority held a training session on use of the system by Azeus Convene, the firm in supporting Kemsa in deploying the platform.

Kemsa board led by its Chair Irungu Nyakera, expressed eagerness to unlock the true potential of the eBoard Investment and using its power to digitise their processes.

"This platform will immediately be implemented in the upcoming board and committee meetings, to track all agendas on a real time basis," Nyakera said.

"We expect the secretariat to upload all information to enable us to make quick references for all meetings,” Nyakera noted.

Nyakera called on the consultant to provide continuous support to ensure that the structure remains intact so that it can assist all future boards.

The CEO committed to using the platforms in all future meetings, noting that it will be useful in assisting management to cascade and track their progress to board level with much ease.

Convene eBoard Specialist Jackie Mbaire and Loyford Mwiti (BDM-Jenetworks) showcased that Convene System employs robust encryption, access controls and regular monitoring to protect confidential data while adhering to stringent data protection regulations as outlined by the Authority and Data Protection Act.

They emphasised that they would prioritise user-friendly and extensive training resources for the board and management to ensure that all users are familiar with the system through their Customer Success Team.

Kemsa board said there has been a seamlessly Transition with Convene from manual meetings to paperless meetings.

However, they said the use of board management software to run board meetings can be quite terrifying.

This is due to the time and effort needed to learn how to use the application and the problem of how to fit it in the current system.
